Chance Publishers Limited ("Chance Publishers", "we", "us") respects your privacy. This policy explains what personal information we collect when you use our website, our author portal, or our publishing services, and how we use it.
Information we collect
Depending on how you interact with us, we may collect:
- Contact details — your name, email address, phone number and postal address.
- Identity information — your ID or passport number, collected as part of our Non-Disclosure Agreement (NDA) process before manuscript submission. See our Author Verification policy for why this is required.
- Manuscript and project information — your manuscript files, book details, and communications with our editorial and design team.
- Payment information — invoice records, payment method (M-Pesa, bank transfer, cash or cheque), transaction references and receipts. We never store your full card, M-Pesa PIN, or banking passwords — payments are processed through Safaricom's M-Pesa (Daraja) platform or verified from proof you provide for bank transfers.
- Account information — your login email, a securely hashed password (we never store your password in plain text), and your activity within the author portal.
- Technical information — basic, non-identifying analytics about how our website is used, such as which pages are visited.
How we use your information
- To provide publishing services you have requested — editing, proofreading, design, layout, printing and launch support.
- To process payments and issue invoices and receipts.
- To communicate with you about your project, by email, SMS, WhatsApp or phone.
- To verify your identity and protect against fraudulent manuscript submissions.
- To meet our legal and regulatory obligations, including tax and business record-keeping requirements in Kenya.
We do not sell your personal information to third parties, and we do not use your manuscript content for any purpose other than delivering the publishing services you have requested.
Who we share information with
- Our staff and contracted freelancers — editors, designers, layout artists and proofreaders assigned to your project see only what they need to complete their task.
- Payment processors — Safaricom (M-Pesa/Daraja) processes mobile money payments on our behalf.
- Printing partners — if you order printing, your final print-ready files are shared with our printing partner solely to produce your books.
- The Kenya National Library Service (KNLS) — where an ISBN is requested, book details are submitted to KNLS as Kenya's national ISBN agency.
- Legal or regulatory authorities — only where required by Kenyan law.
How long we keep your information
We retain project records, invoices and communications for as long as needed to deliver your publishing services, resolve any disputes, and meet our legal record-keeping obligations — typically for the life of your published book relationship with us, plus a reasonable period afterward. You can ask us to delete your account and personal information at any time; see the Data Protection policy for how.
Your choices
You can review and update your contact details from your author portal account settings at any time, and you can ask us directly for a copy of the information we hold about you, or to correct or delete it, subject to our legal record-keeping obligations (for example, we must keep signed NDAs and financial records for a minimum period under Kenyan law).
